Insurance Claim Guide

What to expect from the first call through final claim reconciliation.

Claims do not move through one universal schedule. This guide shows the common sequence and explains why mitigation, coverage, repair estimating, scope updates, mortgage payments, and reconstruction can overlap.

1

Safety and source control

Protect people, stop active water when safe, call emergency services or qualified trades when necessary, and begin reasonable loss prevention.

What the property owner should do

  • Avoid hazards
  • Save emergency receipts
  • Document from safe locations

Insurance reality: Coverage normally has not been decided yet.

3

Emergency mitigation

Water is extracted, unsafe or unsalvageable materials may be removed, drying equipment is installed, and conditions are monitored.

What the property owner should do

  • Review work authorization
  • Keep photos and records
  • Ask how equipment and progress are documented

Insurance reality: The carrier may later evaluate necessity, duration, quantity, pricing, and relation to a covered loss.

4

Inspection and coverage investigation

The adjuster reviews cause, damage, policy language, photographs, estimates, and other requested information.

What the property owner should do

  • Provide requested documents
  • Attend inspection when practical
  • Keep a claim communication log

Insurance reality: The carrier may accept, partially accept, reserve rights, request more information, or deny.

5

Initial estimate and payment

The carrier may issue an estimate and one or more payments, often subject to deductible, payment adjustment, limits, and lender interests.

What the property owner should do

  • Compare line by line
  • Ask what was withheld
  • Identify mortgage-company requirements

Insurance reality: An initial payment may not be the final claim amount.

6

Repair planning and scope updates

Contractors develop repair scope, hidden damage may appear, and supplemental documentation may be submitted.

What the property owner should do

  • Avoid unauthorized scope assumptions
  • Submit evidence promptly
  • Track approvals and changes

Insurance reality: Mitigation acceptance does not automatically approve every repair item.

7

Reconstruction and recoverable payment adjustment

Approved repairs are completed and documents may be submitted for recoverable payment adjustment or lender draws.

What the property owner should do

  • Keep invoices and completion photos
  • Meet policy deadlines
  • Coordinate inspections

Insurance reality: Replacement-cost benefits can depend on completing eligible repairs within required time.

8

Claim reconciliation and closure

Remaining payments, disputes, payment adjustment, contents, and temporary-expense issues are reconciled.

What the property owner should do

  • Confirm unresolved items
  • Request written explanations
  • Do not assume closure means every right is waived

Insurance reality: Some claims can be reopened or supplemented within policy or legal deadlines.
